GENERAL DESCRIPTION OF POSITION
The Administrative Coordinator supports the NCOA Engineering Operations Services and Central Operational Services Directors and their groups with administrative functions. This role exercises initiative, judgment and discretion while anticipating needs of, and providing administrative services to a group of director level organizational leaders based in La Serena, Chile.
ESSENTIAL FUNCTIONS

Proposes creative solutions to a wide variety of situations, including conflict resolution and handling logistical challenges involving administrative functions and/or organizational issues; relies on experience and judgment to plan and accomplish goals.

Provides support for budget development for Directors’ Offices, interfaces with Central Administrative Services staff concerning Directors’ accounts as required, and prepares reports as needed regarding expenditures and account funds using advanced excel skills.

Audits procedures/processes and recommends management action to improve efficiency.
*
Develops and implements mechanisms to improve and facilitate internal communications; screens callers and visitors to minimize interruptions and protect Directors’ time.
*
Is responsible for confidential and time-sensitive material; conducts all business discreetly.
*
May participate in meetings, record action items, and follow-up to track progress and monitor project schedules and deadlines.
*
Acts as central information resource and determines appropriate courses of action, which may require referral to another expert.
*
Serves as support as needed in meetings, daily activities, and special events; may interact with vendors and staff as directed by the Directors.
*
Prepares routine and advanced documents including letters, memoranda, reports, financial data, and/or reviews them for accuracy.
*
Makes travel and meeting arrangements.
*
A wide degree of creativity and latitude is expected.

All AURA employees are responsible for the proper management and control of all AURA property within their work area, whether assigned to them or someone else. This responsibility includes reporting any known missing, stolen, or non-working property in their work area to their supervisor or the AURA Property Officer.
*
Responsible for ensuring compliance with government award terms and conditions assigned to this position or subordinates of this position as defined in the Vela Award Management system.
